EMMAUS HOUSE JOB OPENING: OFFICE MANAGER

PURPOSE:

The purpose of this position is to support the mission of Emmaus House (www.emmaushouse.org) in the community by ensuring that administrative processes and procedures flow smoothly.

DUTIES:

Greeting
 
Present a welcoming and knowledgeable “public face” of Emmaus House to clients, volunteers, donors and community partners.

Train and supervise volunteers to serve as receptionists for the front desk.

General Administrative

Maintain a detailed knowledge of the activities and procedures of Emmaus House and provide multi-faceted office support work to the Executive Director and other staff/programs.

Assist the EH Director weekly with correspondence, calendar commitments, responding to voice mail, filing and other duties.

Maintain general staff calendar, recording Emmaus House events, Advisory Board meetings, staff meetings, staff vacations and sick leave and other items important to Emmaus House as a community.

Provide logistical support for advisory board meetings, committee meetings, and other meetings as requested, including identifying meeting space, ensuring appropriate set-up and clean-up, preparing needed materials, sending out reminders to participants and compiling list of attendees.

Participate in special projects and events to assure smooth administration and coordination.

Prepare weekly service bulletin and place copies in Chapel.

Financial

Coordinate Emmaus House financial processes with Diocesan representative(s): prepare deposits, check requests and credit card reports and maintain detailed records of same.

•     Purchase office, kitchen and cleaning supplies, negotiating prices as opportunities arise and maintaining inventories of supplies used regularly by staff.

•     Research major equipment purchases (i.e. copiers, phone systems, computers) as needed and make recommendations to Director.

Communications and Donor Relations

•     Maintain contact database of donors, potential donors, Chapel members, and other Emmaus House friends and supporters, sending gift acknowledgments promptly.

•     Process fundraising appeals three times a year in coordination with Advisory Board Development Committee and the Director; interface with printing/mailing house and post office.

•     Lay out Emmaus House newsletter (text and graphics in pdf format) three times/year and transmit to printer/mailer.

•     Create reports, brochures and other information pieces as assigned by the Executive Director.

Properties

Oversee the maintenance of the EH building needs and repairs in coordination with maintenance contractors and B & G staffer.

Manage the care and maintenance of the EH vehicles in coordination with staff uses of busses and van. Ensure regular maintenance requirements are met, oversee mileage records.

•     Maintain control over inventory of keys to Emmaus House buildings and offices.

KNOWLEDGE AND SKILLS REQUIRED:

•     Excellent communication skills with emphasis on listening and creating rapport with people of      
     diverse needs and interests.

      •     Proficiency with English grammar and usage; ability to compose letters, reports and other
documents.

      •    Proficiency with MS Office, especially Word, Excel and PowerPoint.

Conceptual understanding of and extensive experience with relational database design and maintenance.

Ability to work both independently and collaboratively, planning, organizing and executing work to meet established deadlines.

Tolerance for interruption: ability to maintain composure and track multiple projects despite numerous and frequent interruptions.

Ability to analyze and prioritize activities and to set appropriate boundaries as required to complete work effectively and efficiently.

Detail-oriented and extremely well organized.

Flexibility, a sense of humor and curiosity are invaluable.

Familiarity with the Episcopal Church not required, but helpful.

SUPERVISORY RESPONSIBILITY:

Supervise volunteers, interns and/or community service workers who perform office work.

Provide accountability structure for other staff regarding deadlines for their administrative tasks.

QUALIFICATIONS:

Three or more years of previous experience in a complex and upper level administrative support position.
Valid Georgia driver’s license and proof of vehicle liability insurance for occasional errands.

COMPENSATION PACKAGE:  

Salary $32,000 - $36,000
